The Event Creator or Event Editors can create the Bill of Quantities (BQ) for the Auction. This will be known as the pre-bid price setting.
Note that you can create multiple BQs in an RFx event, but only One BQ in an auction.
1. Adding Bill of Quantity
i. Click Add Bill of Quantity to create a BQ.
ii. Fill in the BQ Name and BQ Description
Choose a Main topic or title for the whole BQ. BQs have specific sections and items which you can specify in the preceding sections.
Generally describe the nature of this BQ, its expectation or requirements.
iii. Click Save to save the BQ.
2. Creating Sections
Click Edit icon to add sections to the BQ.
i. Click Add Section to add sections to the BQ.
ii. Create New Section by adding Section Name and Section Description
Choose a specific name or title for your BQ sections.
Example: Front Engine Mounts
Describe the nature of the BQ section.
Example: Front engine mounts are fixed to the front part of the engine block.
iii. Click Save to proceed to creating specific items in the BQ.
3. Adding Items to a BQ List
Click to Add Item to Bill of Quantity List.
i. You can state the Item Name. Example: Front Engine Mount
ii. You can select the Item Type. There are 3 item types to choose from.
- Normal Price - This is the standard item list, in which the supplier will key in their best bid price.
- Trade In Price - If the buyer selects this item, it means that the item has a negative price (i.e. trade-in value). The suppliers will have to specify the trade in value they can offer.
- Buyer fix Price - This allows you as a buyer to fix the price that you are willing to pay on certain items or services. For example, some items like insurance have a fixed and objective price, so they buyer can fix this for all suppliers.
iii. State the Quantity of items that you would like to purchase.
iv. Select the Unit type from your Unit of Measurement list. (See article on how Administrator can add new Units of Measurement)
v. As a buyer, you only need to fill up the unit price for Buyer Fixed price items. No Input is needed for Normal Price and Trade in Price, as these will be provided by each supplier
vi. This section allows you to provide a Description of the items. Example: You may include color or design preferences.brand preferences, materials used etc.
vii. Click Save to save item.
viii. Click Edit to make any changes to the saved question. 1.1 denotes the Item in the BQ List.
4. Adding Bill of Quantity for Suppliers
For Pre-bid Price Settings in which Buyer fills in the prices, the Bill of Quantity will have to be filled up by the buyer for each supplier based on prices provided by suppliers from previous events, or according to a standard pricing in which the buyer wants to determine the supplier's starting price.
Conversely, for Pre-bid prices in which the Suppliers fills up the price, the buyer will only have to create the line items in the Bill of Quantities. Suppliers will fill in the pre-bid prices.

Click to add Bill of Quantity for suppliers once the BQ is determined.
i. Click to choose the supplier from list of invited suppliers.
ii. Click GO to update the BQ price for the particular selected supplier.
iii. Fill in the supplier's unit price.
iv. Total amount is calculated based on the unit price and the quantity of items.
v. Click to Save the supplier's BQ prices.
Note that the buyer has to fill up each supplier's individual Bill of Quantities in order to proceed with the event.
