Start by heading to the left side of the menu side bar settings and click on Templates following by Sourcing Template.
You will be directed to a page as shown above. Click on Create New Template.
You will arrive at the RFS template creation page. Start by filling in some general information such as the template name and description following by the Budget information. Note that some of the fields can be set to read only or optional depending on how you would want to control the RFS requests moving forward.
- Template Name
- Template Description
- Decimal Points
- Cost Center
- Business Unit
- Available and Estimated Budget
- Minimum and Maximum Supplier Rating/Grade
Next, add your team members whenever required. You can also set this section to read only to prevent further editing by requesters. Then, add your approval routes whenever necessary. There is no limit to how many approver levels you want to set including the amount of approvers per level.
In cases whereby additional approvers are needed during the RFS request, you can set this control in the template as well. Tick on the checkbox to Allow to Add Additional Approval following by the Approval Count.
Once all are done, click on Save & Next to proceed.
You will be directed to the Questionnaire section. Click on Add Questionnaire following by filling in the questionnaire name and description. Then, click on Create. The questionnaire name here will be used as a header. You can repeat the process by clicking on Add Questionnaire if there are more headers to be created. These headers can be used to group questions into their specific categories.
For example, you can create a header called 'Product Specifications' for requesters to upload specification sheets and then create another header called 'Product Drawings' for requesters to upload drawings of the product. Using this method, you can prevent confusion for the requesters especially when the questions can be a lot for an RFS.
Next, click on the notepad icon as shown in the screenshot above.
Now, you would need to add a section first. Click on Add Section following by filling in the section name and description. Then, click Save.
Now that the section is created, it's time to add a question. Click on Add Question.
There are three areas to focus on. First, select your Answer Type.
- Text Format Answer
- Choice Answer
- Choice with Scoring
- Drop Down Lists
Next, fill in your question following by the description and the answer options that will be presented to requesters.
Lastly, you can select to either make the question mandatory, request for documents to be attached or make the attachment mandatory.
When all is done, click on Save.
If there are more questions to be added, repeat the process by clicking on Add Question. When all questions have been added, click on Finish and you're done!
You will receive a message notification at the top saying that the template has been created successfully. From here, you can edit or delete the template whenever necessary.
